Our Legal Administrative Assistant will provide administrative support for our Office of General Counsel by performing various administrative and clerical duties, including ensuring regulatory compliance on contractor licensing-related matters and secretary of state filings in a multi-state and multi-company environment. Your tasks will require research skills, an understanding of the organization, writing skills, and organization.

  • Research and analyze information relevant to state contractor licensing guidelines and secretary of state filing procedures to ensure compliance with applicable laws and regulations
  • Organize and summarize instructions from licensing boards
  • Maintain department filing system and tracking log of filing deadlines to ensure timely submission of license and annual report renewals
  • Build and maintain effective relationships with field employees, responding to requests for information regarding licensing requirements
  • Retrieve, compile, format, compose, and revise letters, spreadsheets, tables, presentations, and other printed material for department staff from verbal direction or from knowledge of procedures using MS Word, Excel, Power Point
  • Coordinate invoice processing and perform accounts payable research in SAP
  • Process expense reports in Concur
  • Assist department and others within organization with planning of meetings, travel arrangements, and ordering of office supplies
  • Distribute incoming mail to department staff in a timely manner
  • Perform other duties as requested by leadership 

Education, Skills, Experience Needed

  • High School Diploma or equivalent required
  • 4 years related experience or equivalent combination of education and experience 
  • Knowledge of the organization
  • Skilled in using computer software, including MS Word, Excel, Outlook, PowerPoint, SAP, and Concur
  • Skilled in performing required administrative tasks, such as organizing or proofing data, typing, sorting and distributing mail, or keeping logs
  • Mathematical skills to count, copy, and record figures
  • Skill in operating various office equipment, such as personal computer, calculator, facsimile, copy machine, and document shredder
  • Written, oral and interpersonal communication skills
  • Ability to read and understand governmental forms and instructions
  • Ability to carry out detailed oral and written instructions
  • Ability to pay close attention to detail and coordinate various activities simultaneously
  • Ability to provide a high level of customer service by answering questions, providing accurate information, and responding to requests on a timely basis for both internal and external customers
  • Ability to plan and schedule activities normally completed within a one-day time frame
  • Ability to work effectively with close supervisory guidance with specific, step-by-step instructions or standard procedures generally being available
  • Ability to maintain confidentiality

Working Environment

  • Work is performed in a typical indoor office environment
  • Flexibility to work various schedules and stay late when necessary with little or no notice
  • Must be able to read documents, use a computer, communicate verbally and in writing
  • Mobility required within an office, warehouse and construction site environments
  • Ability to occasionally lift up to 20 pounds


  • Pass pre-employment, random, post-accident, and reasonable suspicion drug screens
  • Provide valid US work authorization documents for E-Verify
  • Satisfactory results of pre-employment background check results
  • Valid driver’s license with clean driving record
