As an Executive Assistant, you will provide high-level support, leveraging your exceptional administrative skills, discretion, and ability to manage multiple priorities in a fast-paced environment.

What You'll Do

  • Schedule appointments and plan conference calls as well as executive, staff, and board meetings of varying complexity (including hotel, ground transportation, meals, on- and off-site social events and activities)
  • Manage the CEO and other executives' calendars, including scheduling meetings, appointments, and travel arrangements
  • Prepare and organize documents for meetings, including agendas, presentations, and reports 
  • Edit correspondence, reports, presentations, and other documents for the executive team
  • Serve as the primary point of contact for internal and external stakeholders on behalf of the CEO and other executives
  • Assist in the preparation of communications, both written and verbal, ensuring clarity and professionalism
  • Handle sensitive and confidential information with integrity and discretion at all times
  • Coordinate special projects and initiatives as assigned 
  • Maintain and organize files, records, and databases, ensuring information is up-to-date, easily accessible, and that action items receive timely follow-up
  • Oversee office operations and ensure a smooth workflow, including ordering supplies, managing equipment, and handling incoming and outgoing mail
  • Support the CEO and executives in personal tasks as needed
  • Collaborate with other admins on collective work, projects and tasks as needed 
  • Anticipate needs and proactively address issues to support the executive team in achieving their goals
  • Perform other responsibilities as requested by leadership
     

What You'll Have

 

  • Degree in Business Administration or relevant field (MBA or Master’s degree/Graduate Business Administration preferred)
  • Experience in Construction, Utilities, Energy or similar field preferred
  • 5+ years’ experience providing administrative support to Executives
  • Experience in Construction, Utilities, Energy or similar field preferred
  • Experience planning meetings and working with hotels, restaurants and other suppliers to produce a cohesive event
  • Ability to type at a minimum of 70 WPM
  • Proficient in using office software such as Microsoft Office (Word, Excel, PowerPoint) and other tools for scheduling and communication
  • Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously
  • Ability to work in a fast-paced environment, adapt to changing priorities, and maintain a high level of professionalism
  • Ability to accomplish assignments without need of close supervision and be diplomatic in interpersonal dealings
  • Excellent written and verbal communication skills, with the ability to interact professionally with individuals at all levels
  • Keen attention to detail and accuracy in all aspects of work, including proofreading documents and managing data
  • Strong problem-solving skills and the ability to think critically to resolve issues efficiently
  • Demonstrated ability to handle confidential information with sensitivity and maintain a high level of discretion

Work Environment

  • Work is performed in a typical indoor office environment.
  • Flexibility to work various schedules and stay late, when necessary
  • Must be able to read documents, use a computer, communicate verbally and in writing.
  • Mobility required within an office, warehouse, and construction site environments.
  • Ability to occasionally lift up to 20 pounds.
