Under the supervision of the HR Lead, our Human Resources Assistant performs a wide variety of administrative tasks to support the HR Payroll department including file maintenance, copying, scanning, validation and maintenance of all employee I9 records, assisting with employee verifications and providing backup at times for others within the Payroll department.

Responsibilities

  • Responsible for record management of all employee personnel files
  • Create, process, and maintain all employee file records
  • File and retrieve documents for HR & Payroll staff
  • Prepare records for archiving at off-site storage
  • Maintain file room logs to track the location of files
  • Dispose of files according to established document-retention schedules
  • Work collaboratively with the operating areas regarding onboarding processes
  • Perform I-9 validation and monitoring
  • Open and distributes all Payroll mail
  • Provide data entry as needed
  • Perform other duties as requested by leadership

Education, Skills, Experience Needed

  • High school diploma or equivalent required
  • 1-year experience in a HR data maintenance role
  • Proven high attention to detail and data entry integrity
  • Customer focused approach to build a “One Team” environment
  • Strong organizational skills
  • Ability to work in a high volume and fast paced environment
  • Ability to multi-task and work on multiple items simultaneously
  • Excellent communication skills
  • Ability to maintain confidentiality
  • Must be able to work overtime when needed

Working Environment

  • Work is performed in a typical indoor office environment
  • Flexibility to work various schedules and stay late when necessary with little or no notice
  • Must be able to read documents, use a computer, communicate verbally and in writing
  • Mobility required within an office, warehouse and construction site environments
  • Ability to occasionally lift up to 20 pounds

Requirements

  • Pass pre-employment, random, post-accident, and reasonable suspicion drug screens
  •  Provide valid US work authorization documents for E-Verify
  • Satisfactory results of pre-employment background check results
