Our Fleet Administrative Assistant will administer all area fleet activities relating to motor vehicles and equipment (powered construction equipment; towable compressors; trailers and the like). This position will oversee the administrative reporting of weekly operating hours, mileage, and licensing reporting as it relates to the fleet and ensure the execution of vehicle and equipment preventive maintenance programs as directed by the Area Fleet Manager.

Responsibilities

  • Perform Monthly Asset Inspections
  • Travel as requested between areas and job sites to perform duties, such as to ensure compliance of assets and driver credentials
  • Educate and train area workforce regarding driver compliance and NPL fleet policies
  • Ensure timely approval and completion of services, per preventative maintenance schedules
  • Coordinate scheduling of maintenance and inspection programs with the field operations
  • Maintain working knowledge of local service and maintenance providers
  • Provide weekly maintenance cost for fleet related expenditures
  • Maintain and review maintenance file records
  • Track equipment inventory and transfers on a weekly basis
  • Identify vehicle and equipment needs
  • Administer and track driver qualifications
  • Emphasis of weekly data entry and reporting functions via computer
  • Miscellaneous administrative functions as assigned
  • Work with each area shareholder to ensure NPL-Specified fleet needs are met
  • Perform other duties as requested by leadership

Education, Skills, Experience Needed

  • High school diploma or equivalent required
  • Knowledge to interpret telematics and GPS data for fleet vehicles and equipment
  • Understanding of third-party maintenance and regulatory compliance programs
  • Knowledge of OSHA, PHMSA and DOT regulations
  • PennDOT/MDOT knowledge
  • Excellent verbal and written communication, organizational, and presentation skills
  • Communications will be at varying levels between field, senior management and corporate staff
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint   
  • Task/Result oriented
  • Ability to implement and drive change and new processes
  • Strong analytical and strategic thinking skills

Working Environment

  • Must be able to read documents, use a computer, communicate verbally and in writing
  • Mobility required within an office, warehouse and construction site environments
  • Ability to travel based on business need
  • Ability to tolerate work in the extremes of weather without complaining is essential
  • Withstand prolonged and repeated: lifting (including overhead, up to 50lbs); standing; climbing; kneeling; reaching and feeling; crouching and crawling
  • Ability to work with a heightened awareness within the “red zone” of heavy equipment
  • Flexibility to work various schedules and stay late when necessary with little or no notice
  • Ability to stand for long periods (up to 14 hours at a time)
  • Quick and accurate hand-eye coordination to work safely
  • Must be able to sit for extended periods of time 

Requirements

  • Pass pre-employment, random, post-accident, and reasonable suspicion drug screens
  • Provide valid US work authorization documents for E-Verify
  • Satisfactory results of pre-employment background check results
  • Valid driver’s license with clean driving record
