As an Administrative Assistant, you will provide administrative support by performing various administrative, accounting and clerical duties requiring general knowledge of office routine and an understanding of the organization, programs and procedures related to the work in the department.
What You'll Do
- Prepare, format, proofread, and distribute correspondence, reports, presentations, spreadsheets, and other departmental documents using Microsoft Office applications.
- Serve as an administrative contact for the department by answering phones, responding to routine inquiries, routing requests, and communicating with employees, field personnel, vendors, and external partners.
- Maintain accurate EHSQ records, including training records, certifications, incident documentation, inspection reports, and other compliance-related files.
- Support safety and compliance programs by tracking required training, maintaining documentation, and assisting with internal and external audits.
- Coordinate department calendars, meetings, training sessions, travel arrangements, agendas, meeting minutes, and follow-up action items.
- Process invoices, purchase requests, expense reports, and maintain department office supplies and administrative resources.
- Support incident and accident reporting by coordinating documentation, maintaining investigation files, and ensuring records are complete and properly maintained.
- Assist with field support by coordinating safety documentation, investigation materials, and communications with operational leaders as needed.
- Maintain department forms, safety materials, employee handbooks, and coordinate printing and distribution with internal departments and vendors.
- Organize and maintain electronic and physical filing systems while ensuring confidentiality and document accuracy.
- Perform other responsibilities as requested by leadership
What You'll Have
- High School diploma or GED required
- 2 years accounting and/or office administration experience
- Typing and 10 key experience
- Experience supporting Environmental, Health & Safety, Construction, Operations, or Compliance functions is a plus.
- Microsoft skills with extensive knowledge of Excel are preferred
- Strong communication, customer service and organizational skills

Work Environment
- Work is performed in a typical indoor office environment
- Flexibility to work various schedules and stay late when necessary with little or no notice
- Must be able to read documents, use a computer, communicate verbally and in writing
- Mobility required within an office, warehouse and construction site environments
- Ability to occasionally lift up to 20 pounds
Legal Stuff
